SKI JAPAN HOLIDAYS CUSTOMER BOOKING TERMS & CONDITIONS

BOOKING METHOD
Bookings must be made by email to [email protected]. Bookings are considered secure upon receipt of designated non-refundable deposit. Failing to meet the required deposit due date may lead to an automatic cancellation of the booking.

PRICING
All pricing is in Japanese Yen including Japanese consumption tax, service charges and hot spring tax where applicable. Prices are subject to change without notice, and may be subject to re-issue if incorrect through error or omission. The customer accepts liability to pay the correct costs for services and charges. Additional costs caused by weather, failure of transportation services or other circumstances beyond the control of Ski Japan Holidays are not included and must be covered by the guest.

PAYMENT
All payments must be made to Ski Japan Holidays by credit card or bank transfer.
Credit Card Payment: Only Mastercard and Visa Cards are accepted. Payments will incur 3.5% surcharge.

Bank Transfer Payment: Guests must cover the cost of bank transfer fees into our Japanese bank account, and this must be paid additionally to the booking cost. Customers must pay all banking transfer fees in addition to the costs for their Japan holiday accommodation costs.

Precise transfer fee amounts differ between banks and are unknown to us, until the payment reaches our bank account. The difference in transfer fee will be charged onto your credit card or will need to be paid with the remaining balance for your holiday package costs by bank transfer.

DEPOSIT PAYMENT
Once a booking has been confirmed to the guest by email, a 20% non-refundable deposit of the total package cost will need to be paid to Ski Japan Holidays within 7 days. Note some properties may require a deposit of more than 20%, within less than 7 days, and this will be advised to customers upon making booking. Failing to meet the required deposit date may lead to an automatic cancellation of the booking. Bookings made within 60 days to the service date require immediate full payment, or as otherwise specified by the reservation consultant.

BALANCE PAYMENT
The remaining balance or final payments are due 60 days prior to the service date. Bookings made within 60 days to the service date require immediate full payment, or as otherwise specified by the reservation consultant.

AMENDMENT FEES
Once a booking has been confirmed, changes are subject to an administration fee of 4000 yen per amendment. Additional amendment fees may also be charged by suppliers, and these will be passed on to the customer. Examples of chargeable amendments, however not limited to: decreases in number of guests, decrease in number of nights, changes to booking name, change to non-accommodation service.

Where properties and other suppliers have a stricter cancellation policy than the above, the cancellation terms will be informed to the guest at the time of booking.

GROUP BOOKINGS

General Cancellation policy for Group bookings (20 persons and more)

A group booking means and includes any booking of dedicated persons of 20 or more persons who aim to carry out the same itinerary.

Group bookings may be subject to Japanese Laws for Organized Group Travel. Your travel consultant will notify the group leader when this becomes applicable. Payment schedules and cancellation policies may differ to regular individual customer bookings, and these will be relayed to the group leader at time of booking. *Subject to Japanese law, Ski Japan Holidays, our agents and suppliers are not liable for any loss, damage, delay, consequential loss, injury or death resulting from any act, alteration or omission by Ski Japan Holidays, our agents or suppliers, any third party, force majeure or other circumstances.

REFUND
Refunds cannot be made for accommodation and meals not utilized, lift pass days unused, or tours and sightseeing excursions not undertaken.

Any refunds paid by Ski Japan Holidays, will be returned to the customers via the means the sum was paid to Ski Japan Holidays originally. Credit card refund will be back to the credit card used. Monies paid by bank transfer will be returned via this method, and all incurred bank transfer fees will be removed from this sum. In the event that the refund is less than the cost of the bank transfer fee, the refund will not be processed. No cash refunds will be made by Ski Japan Holidays under any circumstances. Refunds will be made in Japanese yen, and any foreign currency exchange fees and charges by the bank or credit card company will be the responsibility of the customer.

INSURANCE
Travel insurance covering cancellations and winter sports including skiing and snowboarding is strongly recommended.

We recommend you take out travel insurance at the time of purchasing your travel package, this will cover you for any unforeseen events that occur before you travel, as well as on your trip. Remember to add snow cover if you are skiing or boarding on your trip, including ski resort closure, ski/snowboard damage and or theft and illness, injury preventing days on the snow, along with the usual liability, medical and cancellation benefits.

VISAS
Ski Japan Holidays does not arrange or take any responsibility for the customer’s visa application or acquisition. All visitors to Japan must research applicable visa requirements and make necessary arrangements prior to arrival.

TRAVEL DOCUMENTATION
Upon receipt of full payment, travel documents will be sent via email. An electronic and printed hard copy of these should be carried by the guest at all times during the period of stay in Japan.

LIABILITY
Ski Japan Holidays acts as a booking agent only for the persons or organization's providing or offering the means of travel, accommodation, ski lifts, rentals or services detailed and as such cannot be held responsible for any injury, loss, accident, and delay or any other irregularity outside of our control.

It should be understood that Ski Japan Holidays cannot under any circumstances be held responsible for snow conditions; lack of snow or heavy snow storms. No holiday can be cancelled, altered or amended on the basis of weather conditions.

Transportation companies shall be exempt from all liability in respect of any detention, delay, loss, damage, sickness or injury. However and by whomever caused and of whatever kind occurring of or to the passenger at any time when the passenger is not on board a carrier or conveyance used or operated by the transportation companies or firms.

Suppliers, including but not limited to those arranging for or providing air and ground transportation, sightseeing arrangements, ski and snowboard rentals, and lodging, are independent contractors and are not employees of Ski Japan Holidays. All travel documents are issued subject to Suppliers' terms and conditions. Neither Ski Japan Holidays nor the Suppliers for which Ski Japan Holidays acts as agents, shall be held liable for, and customer waives any claim against, Ski Japan Holidays and the Suppliers for loss or damage to property, or injury to person caused by reason of any failure of performance, defect, negligence, or other wrongful act or omission.

Ski Japan Holidays and it's agents act only in the capacity of agents for the customer on all matters pertaining to lodging, activities, and transportation whether by air, rail, bus, automobile or otherwise and as such Ski Japan Holidays and its agents shall not be liable for any injury, damage, loss, accident, delays, or any other irregularity which may be occasioned whether by reason of any Supplier or otherwise in connection therewith. The passenger contract in use by any transport Supplier hereunder shall constitute the sole contract between the respective company and the customer and/or purchaser of the Package.

JAPANESE LAWS

If a person or persons get in trouble with the Japanese police and are accused of breaking the country’s laws, Ski Japan Holidays will advise on what action may be needed. We reserve the right to evict customers from properties whereby they clearly break the rules and make it difficult for accommodation owners and or other customers. Zero refunds will be provided and will be entirely up to the customer to arrange all alternative arrangements.

PROPERTY DAMAGE & CUSTOMER RESPONSIBILITY

Should a customer cause damage or break any part of a property, our vendors or suppliers’ property, any of its assets or its infrastructure whilst staying or using their assets; it is the customers sole responsibility to fully reimburse the property the monetary value for the repair or replacement of that asset before departing from the property.

SELF-CONTAINED ACCOMMODATION BOOKINGS

Security bonds for self-contained accommodations: Credit card details are required upon check-in as a security for self- contained apartments and lodges. Management of these premises requires all guests to accept responsibility for loss and damage to the building and furnishings.

Extra person charge: Each property has a standard capacity and any guests over this number will be charged an additional guest fee. Price and bedding provided (sofa bed, futon, fold out bed or roll away bed) will depend on the property. The maximum number of guests has been stipulated by fire and safety regulations. Property Management reserve the right to turn away guests over the maximum capacity and or charge any additional fees which may be necessary to cover extra costs.

Damage to accommodation: You accept responsibility for loss and damage to the accommodation, fittings, furniture and keys during your occupation. The cost of replacement or repair for any loss or damage endured during your stay will be charged to the credit card provided upon check-in. Your personal possessions, including lift passes and hire equipment are at your own risk during your stay.

Pets: No pets are allowed at any accommodation, either inside, outside or remaining in vehicles parked at the accommodation.

Check in and check out: The accommodation is available for occupation from 3.00 pm on the day of Check in. The accommodation must be vacated before 10.00 am on the day of Check out. Where accommodation is not vacated by 10.00 am a late Check Out fee will be charged.

No Smoking: Smoking is strictly prohibited in all self-contained properties and many hotels. Management reserves the right to evict your group or any individual from the accommodation without refund. If anyone in your group has smoked in the accommodation you will be charged the full additional cleaning costs and costs incurred in compensating later guests who are affected by the smell of smoking or the owner of the property for bookings that need to be relocated to a different property.
